The short version

Overview

Claavo ("we", "our", or "us") publishes FlayrBooth, a professional photo booth desktop application. This Privacy Policy explains what data the App collects, where it is stored, and when — if ever — it leaves your device.

This policy covers our website (flayrbooth.claavo.com) and the FlayrBooth desktop application. By using either, you agree to the practices described here.

1. Who This Policy Covers

This policy applies to Operators — the people or businesses that install and run FlayrBooth.

Event guests interact with the booth at events. Operators are responsible for informing guests about how their photos are captured, stored, and shared, and for obtaining any required consent under applicable law. Claavo does not hold guest photos or contact information.

2. Data We Collect and Why

2.1 Information you provide directly

  • Name and email address when purchasing a license or contacting support
  • Payment information — processed securely by our payment provider; we do not store card details
  • Support messages and correspondence

2.2 Licensing data (collected automatically)

To verify that your license is valid and running on the registered machine, the App collects certain device identifiers at activation. These are used only for licensing — to confirm the App is running on the machine the license was issued for.

All communication with the license server is encrypted. Device identifiers are stored only to enforce activation limits and detect fraudulent use.

2.3 Trial data

The App tracks when the trial period started so it can calculate remaining days. This is stored locally on your machine. If the App is online on first launch, it may sync the trial start date with the Claavo server to ensure accuracy.

2.4 Photos and videos

Photos, videos, GIFs, and boomerangs are stored locally on the booth computer. They are never sent to Claavo. They leave the device only if the Operator explicitly enables email sharing, SMS sharing, or Google Drive backup — see Section 5.

2.5 Guest contact information

When a guest chooses to receive their photo by email or SMS, the App collects the address or number they enter. This is used only to deliver the photo and is sent to the Operator's own email or SMS provider — not to Claavo. Claavo never retains this data.

2.6 Website analytics

When you visit flayrbooth.claavo.com, we may collect browser type, operating system, IP address, pages visited, and time on site via analytics tools. This data helps us understand how the website is used and improve it.

3. Data We Do Not Collect

The FlayrBooth desktop application does not collect:

  • In-app analytics or usage statistics
  • Crash reports or diagnostic data
  • Location data
  • Any data from event guests beyond what the Operator configures for sharing

There are no third-party analytics SDKs, tracking pixels, or advertising networks in the App.

4. How We Use Your Information

  • To process your purchase and deliver your license key
  • To provide customer support and respond to inquiries
  • To send important product updates, security notices, and license information
  • To enforce the trial period and license terms
  • To improve our website based on usage analytics
  • To comply with legal obligations

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

5. When Data Leaves the Device

By default, all captured media stays on the booth computer. Data leaves the device only in these cases:

  • Email or SMS sharing — the photo is delivered to the guest via the Operator's own email or SMS provider. Claavo is not involved.
  • Google Drive backup — photos are uploaded to the Operator's own Google Drive account. Claavo has no access to that account or its files.
  • QR code download — the photo is served from the booth's local network, or from Google Drive if Drive mode is enabled.
  • License activation / revalidation — device identifiers and license keys are sent to the Claavo license server (see Section 2.2).
  • Update checks — the App may check for available updates on launch. No personal data or device identifiers are included in this check. You can disable it in the System tab.

6. Third-Party Services

Depending on Operator configuration, the App may interact with the following third-party services:

7. Data Retention

8. Security

  • Photos are stored on the local filesystem, protected by your OS access controls
  • License and credential data is stored using OS-provided secure storage
  • All communication with the Claavo license server uses HTTPS
  • The App does not accept inbound connections from the internet

No method of transmission over the internet is 100% secure. We cannot guarantee absolute security, but we implement industry-standard measures to protect your data.

9. Operator Obligations

Operators act as data controllers for any personal data collected from guests (photos, email addresses, phone numbers). Operators are responsible for:

  • Displaying appropriate privacy notices at the event
  • Obtaining consent where required by law
  • Responding to guest requests to access or delete their data
  • Complying with GDPR, CCPA, or other applicable privacy regulations in their jurisdiction

Claavo provides the tool; the Operator controls the data.

10. Guest Rights

Guests who have had their photo taken at a FlayrBooth event should contact the event Operator — not Claavo — to request a copy of their photo, request deletion, or ask how their contact information was used. Claavo does not hold guest photos or contact information.

11. Your Rights (Operators)

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legal retention requirements)
  • Opt out of marketing communications at any time
  • If you are in the EU: data portability, restriction of processing, and the right to lodge a complaint with a supervisory authority (GDPR)
  • If you are in California: the right to know, delete, and opt out of sale of personal information (CCPA/CPRA)

12. Cookies

Our website may use cookies to improve your browsing experience and collect analytics data. You can control cookie settings through your browser. Disabling cookies may affect some website functionality. The FlayrBooth desktop application does not use cookies.

13. Children's Privacy

FlayrBooth is not directed at children under 13. We do not knowingly collect personal information from children. Operators are responsible for obtaining parental consent where required when capturing photos of minors at events. If you believe a child has provided us with personal information, contact us and we will delete it promptly.

14. Changes to This Policy

Claavo may update this Privacy Policy from time to time. The effective date at the top of this page will be updated when changes are made. Continued use of our website or App after an update constitutes acceptance of the revised policy.
